1. Introduction

The Fairfax Church is issuing this Request for Proposal (RFP) to qualified vendors for the purchase, installation, and commissioning of a high-quality LED video wall system. The church intends to upgrade its worship center with a modern, visually engaging display that enhances live services, presentations, and special events.

2. Project Overview

The project involves the procurement and installation of an LED video wall with a finished display size of approximately 20 feet wide by 8 feet tall. The system must support high-resolution video playback, live feeds, lyric display, sermon notes, and multimedia presentations. The video wall will serve as a central visual element for weekly services, conferences, concerts, and community gatherings.

3. Scope of Work

The selected vendor will provide a complete turnkey solution including, but not limited to:

3.1 LED Video Wall System

• Display dimensions: 20 ft (width) × 8 ft (height)

• Pixel pitch recommendation: Provide options (e.g., P1.5–P3.9) with performance comparisons

• Cabinet type: Front-service preferred

• Module technology: SMD or COB (vendor to specify)

• Brightness: Minimum 800–1200 nits

• Refresh rate: Minimum 3840 Hz

• Viewing angle: 160° horizontal / 140° vertical or better

• Power consumption: Provide max and typical values

3.2 Structure & Mounting

• Design and supply a safe, load-bearing mounting structure

• Ensure proper wall alignment, leveling, and weight distribution

• Provide installation drawings and engineering documentation if required

3.3 Video Processing System

• Provide a compatible Novastar, Brompton, or equivalent LED processor

• Include necessary receiving cards, sending cards, and control interfaces

• Support HDMI, SDI, and livestream input formats

3.4 Installation & Integration

• On-site installation by certified technicians

• Electrical requirements and power distribution planning

• Signal cabling and routing

• Integration with existing church AV systems

• End-to-end testing and calibration

3.5 Training & Documentation

• On-site training for church staff and volunteers

• User manuals, maintenance guides, and system diagrams

4. Vendor Qualifications

Vendors must demonstrate:

• Experience in LED video wall installations in churches or performance venues

• At least three relevant past performance references

• Ability to provide timely technical support and warranty service

• Proper licensing, insurance, and certifications

5. Warranty & Support Requirements

The proposal must include:

• Minimum 2-year full system warranty (modules, cabinets, power supplies, cables, controllers)

• Optional extended warranty pricing

• Response time for support requests

• Parts availability and lead time

6. Deliverables

Vendors shall submit:

• Detailed technical specifications

• Engineering drawings

• Itemized cost breakdown (equipment, labor, optional add-ons)
